Overview
The Project Officer supports the project/program team in the ongoing administration and performance of project/program related activities and monitors progress according to agreed on metrics.
You will act as a professional, proactive “extended arms, eyes & brain” of the project manager and support him/her in daily operations to ensure successful project performance. Additionally, you will take over responsibility for and/or leads the Project (Management) Office and execute assigned project tasks. You should act a role model and know-how provider for less experienced project (management) colleagues. Actively maintain a network of relevant contacts within the organisation to ensure smooth project administration.
Key Expectations:

- Maintain project documentation and records.
- Assist in project communication and reporting.
- Coordinate project meetings and logistics.

Key Deliverables:
Administration
- Prepares, facilitates and documents national/international meetings and workshops
- Follow Up of meetings and workshops (e.g. task lists)
- Administration of to-do list
- Supports the preparation and maintenance of issue and risk management
- Maintenance of collaboration tools and shared documents (e.g. absence planning, project budgets, effort tracking, etc.)
Planning
- Supports the project manager in administrative manners
- Regular proactive maintenance of project plans and relevant project documentation (e.g. resource plan, etc.)
Controlling
- Checking of actual effort tracking for reporting
- Update of internal cost- and development/compilation of status-reports, takes administrative ownership of the project budget and ensures compliance to internal regulations & procedures
- Supports project marketing and information activities and maintenance of the communication plans (e.g. Intranet, specific project information platforms)
- Provides draft slide decks for steering committees
Execution
- Leads and/or supports project & program office for local and international projects
- Maintains/administrates project contracts (e.g. consultancy, vendors, etc.)
- Actively drives other assigned tasks to deliver the agreed outcome and proactively informs about the progress of those tasks
Mandatory Skills & Experience
- University degree (e.g. Bachelor, Master) or equivalent working experience
- Basic Project Management
- Intermediate in Project Management methodology
- Professional Project administration knowledge
- Advanced in presentation (development) skills, organisationa skills, company process knowledge, communication, and steering skills
- English language on professional level
- Minimum of 3 years of experience in project administration or similar organisational oriented work -preferably in the IT / Banking sector on a national and international level
- Experience in large organisations as project manager is an advantage
- Any other specific skills (e.g. German language, skill certifications) are a plus
Remuneration & Benefits
- As a contractor, your ManDay rate will be in a range of 250 up to 350 EUR
- Additional bonuses depending on your success, up to 20 % of MD rate
- After the first year of contract a BENCH REMUNERATION will be disponible, which means up to 3 months a 50 % payment of your average salary even if you are not active in a project (the 50 % of your time will be dedicated to our internal needs or learning and development activities). A permanent contract will be also available
